Request and manage time off
Submit PTO dates, review requests, resolve shift conflicts, and understand how approved time appears in payroll reports.
Use Time Off to request PTO or other full days away from work and track each request's approval status.
Permissions
The Staff Scheduling feature must be enabled for the property.
- All signed-in staff can submit requests and view their own requests.
- Manage Staff Scheduling is required to view and review requests from all employees.
- View Reports is required to see approved time off in the Timesheet report.
The property owner can grant capabilities under Settings → User Groups.
Submit a request
- Open Schedules → Time Off.
- Select New Request.
- Choose a Start Date and End Date.
- Add an optional Note for the manager.
- Select Submit Request.
The start date must be today or later, and the end date must be on or after the start date. Requests cover whole days; partial-day requests and PTO balances are not tracked here.
The request starts as Pending. Scheduling managers receive a notification after it is submitted.
Review a request
Staff with Manage Staff Scheduling can see requests from all employees.
- Open Schedules → Time Off.
- Select a pending request.
- Review the dates, employee note, and any conflicting shifts.
- Choose Approve or Deny.
- Add an optional Response Note.
- Select Submit Review.
The employee receives a notification with the decision. The request keeps the reviewer's name and response note.
Approving time off does not delete shifts that already exist in the requested date range. If Comfortly shows a conflict warning, edit or delete those shifts separately.
What approval changes
Approved time off:
- Appears in the Schedule Builder for each covered date
- Prevents managers from creating a new shift for that employee on a covered date
- Appears in the Timesheet report as eight PTO hours for each covered calendar day
- Is added to payroll hours but not to worked hours or estimated overtime
Every date in the approved range counts, including weekend dates. Submit only the dates that should be reported as PTO.
Pending and denied requests do not appear on the schedule or add PTO hours to the Timesheet report.
Withdraw a request
Open the request and select Withdraw Request.
Employees can withdraw their own request while its start date is still in the future. A scheduling manager can withdraw any request. Withdrawal permanently removes the request rather than changing its status.
